Role Purpose

Responsible for managing client inquiries, coordinating consultations, supporting program sales, and ensuring a smooth front desk experience. The role combines lead handling, customer service, appointment coordination, and sales support to maximize consultation bookings and client conversions.

Key ResponsibilitiesLead Management

  • Respond to inquiries received via phone, WhatsApp, social media, website, and walk-ins.
  • Capture and record lead information in CRM or lead tracker.
  • Qualify inquiries and schedule consultation appointments with the dietitian and doctor.
  • Maintain fast response times to maximize consultation bookings.

Appointment Coordination

  • Confirm consultation appointments with clients.
  • Send reminders to reduce no-shows.
  • Coordinate schedules for consultations and therapy sessions.
  • Maintain an organized daily appointment calendar.

Front Desk Operations

  • Welcome clients and manage check-in procedures.
  • Ensure intake forms and consent forms are completed.
  • Coordinate client flow between consultations and therapies.
  • Handle billing support and issue receipts when required.

Sales Support

  • Coordinate with the wellness counsellor during program discussions.
  • Share program information and brochures with clients when appropriate.
  • Assist in processing program enrollments and payments.
  • Maintain follow-up lists for clients who have completed consultations but have not enrolled.

Customer Experience

  • Maintain a professional and welcoming front desk environment.
  • Address basic client inquiries and direct them to appropriate staff members.
  • Ensure client interactions reflect the brand standards of the wellness centre.
  • Assist in collecting client feedback, testimonials, and Google reviews.

Marketing Support

  • Coordinate with the marketing team or agency regarding incoming leads.
  • Capture basic content such as client testimonials or centre activities when required.
  • Assist with posting updates or stories on social media if needed.

Experience Requirements

  • Customer service and sales experience is important
  • Experience in clinic, salon, spa, wellness centre, gym, or wellness club preferred
  • Prior front desk, clinic coordination, or hospitality experience acceptable
  • Familiarity with CRM systems or appointment scheduling software preferred

Compensation

Salary range based on experience. Incentives may be provided based on consultation bookings and sales support performance.

  • Higher Secondary(12th Pass) (Preferred)
