Operations Specialist
Purpose: Serve as the central coordination hub across vendors, data, and internal execution ensuring projects move efficiently and communication stays aligned.
Core Responsibilities:
Vendor & Supply Chain Coordination
• Primary point of contact for India-based vendors:
o Ixoreal
o Soumitra
o Pragati Printing
o Apparel & merchandise vendors
o Packaging vendors
• Track raw material orders, timelines, and inventory status
• Coordinate shipping, logistics, and documentation
• Identify delays and proactively communicate solutions
Data & Reporting Support
• Compile and maintain monthly reporting:
o SPINS (consumption data)
o Numerator (consumer insights)
o Amazon / DTC (if possible)
• Assist in building dashboards and summaries for leadership
• Support data pulls, organization, and analysis requests
• Building simple, effective, beautiful decks for sales and presentations
Clinical & R&D Coordination
• Manage communication with Ixoreal and partners on clinical studies
• Organize and maintain:
o Study summaries
o Key findings
o Supporting documentation
• Help prepare internal and external-facing summaries
Project Management & Admin
Track tasks across teams (Slack, WhatsApp, email follow-ups) • Organize requests (ex: Jess’ WhatsApp items) • Maintain centralized documentation (SOPs, trackers, timelines) • Ensure accountability across vendors and partners Optional Add-ons • Logistics / Transportation o Coordinate shipments, freight partners, and timelines o Track deliveries to warehouses or retailers o (Only in regard to overseas shipments – we will handle domestic shipments) • Customer Support o Assist with customer inquiries (email/chat) o Route issues to appropriate internal team o Track common issues for improvement insights • Marketing Support (for India resources) o Track deliverables, timelines, and requests o Organize assets, files, and feedback loops o Support execution of campaigns (non-strategic)
Success Metrics
• Clear, consistent, timely communication is key
• On-time vendor delivery
• Accuracy and timeliness of reporting
