Job Description: Email Administrator (Email Infrastructure & Deliverability) – 3+ Years (Evening shift – 5PM login – WFO)

Job Summary

IInfotanks is looking for an Email Administrator with 3+ years of experience to manage and optimize our outbound email infrastructure used by the Lead Generation team. You will own email tools + servers, ensure sender IDs are mapped correctly to specific servers, maintain high deliverability, handle domain/IP reputation & delisting, and build/maintain dashboards for manual email sendouts.

Key Responsibilities

Email Tools & Server Administration

  • Manage and configure multiple email platforms/tools such as AWS Sandbox/SES, Azure Premium, Zoho, Hostinger, FastMail, and other SMTP/ESP systems.
  • Configure and route sender IDs/mailboxes to specific servers/sending channels based on capacity, reputation, and business requirements.
  • Manage server allocation, access control, and usage governance for sending teams.
  • Maintain/monitor SMTP configurations and MTA setups (e.g., PowerMTA (PMTA), Postfix, Sendmail), including routing rules and throttling.

Deliverability & Domain/IP Reputation

  • Own deliverability health: IP warm-up, domain warm-up, sending limits, and ongoing reputation management.
  • Configure and maintain SPF, DKIM (incl. double DKIM where needed), DMARC, BIMI, RDNS/FDNS, and DNS records (TXT/CNAME/A).
  • Monitor reputation using tools like Talos Intelligence, SenderScore, and blacklist monitors.
  • Handle domain/IP delisting and remediation for blacklists such as Spamhaus (SBL/PBL/DBL), SpamCop, Barracuda, etc.
  • Ensure best practices for compliance, opt-out handling, and anti-spam guidelines.

Tracking, Dashboards & Reporting

  • Create and maintain an operational dashboard for manual email sendouts by the LeadGen team (daily volume, IDs used, server mapping, bounce/reply logs, deliverability flags).
  • Maintain clean trackers for IDs/domains/servers and ensure data accuracy.
  • Publish weekly/monthly reports on deliverability, blacklist incidents, warm-up progress, and sending performance.

Collaboration & Support

  • Work closely with LeadGen, Sales, and Operations teams to support outreach execution without impacting deliverability.
  • Troubleshoot delivery errors, bounce patterns, and routing issues; propose and implement fixes.

Required Skills & Experience

  • 3+ years in email administration, deliverability, email ops, or email infrastructure roles.
  • Strong knowledge of SMTP, DNS, email authentication, and server concepts.
  • Hands-on experience with multiple email tools/ESPs and managing sending identities.
  • Experience handling blacklist/delisting workflows and reputation recovery.
  • Strong working knowledge of Excel/Google Sheets for dashboards and trackers.
  • High attention to detail, ownership mindset, and ability to work with multiple teams.

Nice to Have

  • Experience with high-volume sending environments and ISP-specific best practices (e.g., Gmail/Yahoo).
  • Basic HTML/email template understanding.
  • Familiarity with A/B testing and campaign performance analysis.

  • Reduced blacklist incidents + faster delisting turnaround time (TAT)
  • Stable inbox placement and improved deliverability health
  • Accurate ID-to-server mapping and clean operational dashboards
  • Lower bounce/complaint rates and better sending stability
