Job Overview: As an Admin Executive, you will be the first point of contact for visitors and clients, ensuring a positive and professional impression of the company. In addition to front office and administrative responsibilities, this role will also support commercial operations, including order processing, order booking, and payment follow-ups, to ensure smooth business operations.

 Key Responsibilities: Front Office & Administration

·         Greet and assist visitors, clients, and employees courteously and professionally.

·         Manage incoming calls and direct them to the appropriate person or department.

·         Maintain a tidy, welcoming reception area and oversee cleanliness and hygiene of the office.

·         Manage visitor logs, issue visitor badges, and ensure security protocols are followed.

·         Handle incoming and outgoing correspondence, including emails and phone calls.

·         Coordinate and schedule meetings, appointments, and conferences.

·         Provide administrative support to various departments as required.

Office Operations

·         Manage office inventory, logistics, and courier coordination.

·         Order and maintain office supplies and ensure optimal inventory levels.

·         Coordinate with vendors for office-related services and supplies.

·         Oversee general office maintenance and liaise with building management.

·         Ensure proper functioning of office equipment and coordinate repairs when required.

·         Assist in organizing office events and internal activities.

·         Organize and maintain physical and electronic documents and records.

Commercial & Order Management

·         Perform order loading and order booking in internal systems as per business requirements.

·         Coordinate with sales, finance, and operations teams for accurate order processing.

·         Track orders and ensure timely execution and documentation.

·         Handle payment follow-ups with customers in coordination with the finance team.

·         Maintain records related to orders, invoices, and payment status.

·         Assist in resolving order-related or payment-related discrepancies.

Requirements

Education & Experience

Experience: 2-4 Years

Skills or knowledge or experience:

·         Proven experience as a Front Office Executive, Admin Executive, or similar role.

·         Commerce background preferred (B.Com / M.Com or equivalent).

·         Hands-on experience in order processing, invoicing, or payment coordination is an advantage.

·         Excellent communication and interpersonal skills.

·         Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

·         Strong organizational, multitasking, and coordination abilities.

·         High attention to detail with a proactive problem-solving approach.

·         Knowledge of basic office equipment and administrative procedures.
