Role Description

The Tender & Office coordinator will be responsible for managing day-to-day office operations along with handling end-to-end tendering activities as and when required. The role involves internal coordination with teams and simultaneous coordination with joint venture partners to ensure complete, accurate and timely documentation.

Qualifications

  • B.Tech/B.E. (Civil / Mechanical/ Electrical/infrastructure/transport), B.Arch (Landscape / Urban Planning / Other) or B.A. (Hons) Economics.
  • Proficiency in Administrative Assistance and handling Office Equipment
  • Strong Customer Service and Communication skills
  • Knowledge of professional Phone Etiquette
  • Organizational and time management skills
  • Basic computer skills, including proficiency in MS Office
  • Ability to work collaboratively in a team-oriented setting
  • Prior experience in tender management or office coordination is preferred

Key Responsibilities

Tender Management & Coordination (Core Responsibility)

– Key knowledge of Tenders.

– Handle end-to-end tendering activities, including identification, collection, preparation, filling and submission of tender documents.

– Fill, compile, verify, and submit tender forms accurately and within specified timelines, ensuring compliance with all requirements and formats.

– Ensure timely submission of tenders to the respective authorities/clients and manage submission confirmations and acknowledgements.

– Ensure compliance with tender requirements and organizational procedures throughout the tender lifecycle, including post-submission compliance tasks.

– Coordinate with internal departments (technical, finance, legal and compliance) to collect required documents and ensure completeness of submission materials.

– Coordinate with joint venture partners and external stakeholders to obtain complete and correct documentation for tenders.

– Follow up on submitted tenders, handle clarification requests, manage communications with tendering authorities and coordinate any required re-submissions or amendments.

– Maintain proper records and documentation related to tenders, including organizing files, version control, and systematic filing.

– Monitor, track and maintain a centralized tender database with statuses of all ongoing and submitted tenders, deadlines and outcomes.

– Support post-tender activities by tracking outcomes and timelines, preparing and submitting post-tender reports and coordinating review meetings with relevant stakeholders.

– Draft detailed post-tender reports with inputs from technical, commercial and project teams, ensuring clear documentation of results, feedback, and next-steps.

Administrative & Operational Support

– Manage all general office-related administrative work and ensure smooth day-to-day operations.
