Experience Required: Minimum 5 years in Interior Fit-Out / Interior Contracting Industry

Reporting To: Contracts Head

Role Overview

The Contracts Associate will support the Contracts Head in managing subcontractor appointments, contract administration, commercial tracking, and coordination for interior fit-out projects across hospitality, residential, healthcare, and commercial sectors.

This role requires strong understanding of interior execution, subcontractor market dynamics, measurement verification, billing processes, and on-site commercial control.

Key Responsibilities1. Subcontractor Appointment & Management

  • Identify, evaluate, and prequalify subcontractors for various interior scopes (carpentry, gypsum, flooring, metal works, painting, polishing, glazing, etc.).
  • Float RFQs, compare techno-commercial bids, and prepare comparative statements.
  • Negotiate rates and finalize work orders in coordination with Contracts Head.
  • Draft and issue subcontract agreements/work orders as per company standards.
  • Maintain subcontractor database with performance tracking.

2. Contract Administration

  • Assist in preparation and review of subcontract agreements.
  • Track scope inclusions, exclusions, and variations.
  • Monitor compliance with contractual terms (payment terms, retention, DLP, etc.).
  • Coordinate for NT items and variation approvals with project teams.

3. Measurement & Billing Support

  • Verify site measurements in coordination with project engineers.
  • Check subcontractor RA bills against BOQ quantities and approved rates.
  • Ensure reconciliation of quantities before certification.
  • Support preparation of client billing documentation when required.
  • Track retention, advances, and recoveries.

4. Coordination with Execution Team

  • Liaise with Project Managers and Site Engineers for progress updates.
  • Support resolution of scope disputes and quantity variations.
  • Conduct occasional site visits for measurement checks and progress verification.
  • Monitor subcontractor manpower deployment and performance.

5. Commercial Monitoring & Reporting

  • Maintain subcontract cost tracker for each project.
  • Assist Contracts Head in budget monitoring and cost control.
  • Prepare periodic commercial MIS reports.
  • Highlight risks related to scope gaps, quantity overruns, and payment delays.

Required Skills & Competencies

  • Strong understanding of interior fit-out execution processes.
  • Knowledge of BOQs, rate analysis, and measurement standards.
  • Familiarity with subcontractor market and vendor ecosystem.
  • Ability to interpret drawings (Architectural & Interior).
  • Good negotiation and communication skills.
  • Strong Excel skills for commercial tracking and comparisons.
  • Organized, detail-oriented, and process-driven approach.

Preferred Qualifications

  • Degree/Diploma in Civil Engineering / Interior Design / Construction Management.
  • Minimum 4 years’ experience in interior contracting firm (hospitality / premium residential preferred).
  • Experience in RA billing verification and quantity reconciliation.
  • Exposure to multi-city project execution is an advantage.

Travel Requirement

  • Occasional travel to project sites across India for measurement verification and subcontractor coordination.
