Role Overview
We are seeking an Assistant Team Lead – IT HR Systems to join our IT HR Systems team in Gurugram, India. This role places a strong emphasis on Workday integrations, module support, and operational ownership, with additional responsibility for driving process optimization and AI‑enabled improvements across HR technology platforms.
You will:
- Serve as the lead point-of-contact (POC) for the India Workday support team.
- Own Workday configuration and integrations from requirements through deployment.
- Lead day-to-day Workday operations with a strong focus on SLA adherence, quality, and JIRA compliance.
- Act as a primary liaison across HR, IT, and Finance stakeholders.
- Train, coach, and mentor team members to build a high-performing and AI-aware delivery team.
Key Responsibilities
1. Workday Technical Ownership (Configuration, Integrations & Support)
- Transform functional requirements into robust, scalable technical designs for Workday and related HR systems.
- Build, test, and deploy solutions leveraging:
- Workday Studio
- EIBs and Core Connectors
- PECI/PICOF
- BIRT, including complex Document Transformations (DT)
- Workday HCM modules such as HCM, Absence, Benefits, Time Tracking, Talent, and Security
- Provide hands-on L3/L4 support for Workday, ensuring stability, performance, and adherence to internal controls and audit requirements.
- Troubleshoot reported issues, perform root-cause analysis, and drive permanent, scalable solutions rather than repetitive fixes.
2. Process Optimization & AI-Driven Improvement
- Optimize Workday business processes, reporting, and integrations to improve data quality, reduce manual effort, and enhance employee and HR stakeholder experience.
- Identify opportunities to simplify, standardize, and improve workflows using AI and automation, including Workday-native AI capabilities and connected tools (e.g., Glean, UiPath, iCIMS).
- Review and evaluate AI capabilities across Workday, iCIMS, and other HR solutions, working with stakeholders to define practical, secure AI use cases (e.g., intelligent routing, anomaly detection, document generation, and predictive insights).
- Collaborate with other IT teams and stakeholders to connect the current tech stack to available AI models and platforms (such as Glean and UiPath) to solve real business problems and automate repetitive HR operations where appropriate.
- Design and promote AI-augmented ways of working within the team—for example, using generative AI for draft documentation, test script generation, impact analysis summaries, and knowledge base articles—while maintaining strong human review and governance.
3. Releases, M&A, and Change Management
- Lead bi-annual Workday releases, including impact analysis, configuration updates, regression testing, and stakeholder enablement.
- Support Workday activities associated with Mergers & Acquisitions (M&A), including data migration, integration alignment, and configuration changes.
- Own communication plans and protocols to ensure stakeholders are informed about upcoming changes, impacts, timelines, and AI-driven feature introductions.
- Use and manage Workday Community and other knowledge resources to keep the platform and team aligned with best practices and new capabilities.
4. Stakeholder & Vendor Relationship Management
- Partner with global IT, HR, and Finance teams to align on and implement the Workday roadmap, standards, and governance, including AI/automation initiatives.
- Coordinate and manage interactions with external vendors (Workday, integration and service partners, etc.) for issue resolution, enhancements, and new integration development.
- Set clear expectations on scope, timelines, risks, and impact of changes, proactively communicating any timeline or scope adjustments to stakeholders.
5. Process Ownership, Delivery, and JIRA Compliance
- Own end-to-end delivery for assigned Workday projects and enhancements, including:
- Intake and impact analysis
- Design, build, test, and deploy
- Ensure all JIRA tickets are accurately logged, updated, and transitioned through the appropriate statuses, with clear traceability from requirement to deployment.
- Maintain clear, accurate functional and technical documentation, including AI-related configurations, automations, and decisioning logic.
6. Mentoring & Team Collaboration
- Provide guidance and coaching to team members on:
- Workday concepts and best practices
- JIRA and change-management discipline
- Responsible and effective use of AI tools in day-to-day work
- Review team members’ work and provide structured feedback to ensure high quality and continuous improvement.
- Promote a high-performance, learning-focused culture, supporting collaboration across global and cross-functional teams.
Qualifications
Education & Experience
- Bachelor’s degree or equivalent experience in a related field (e.g., Computer Science, Information Systems, Engineering).
- 5–10 years of overall experience, with a majority focused on Workday support in an enterprise environment.
- Strong, demonstrable experience in Workday integrations and configuration is required.
- Prior experience as a Senior Workday Developer, Workday module owner, or Workday support engineer is preferred.
- Proven track record as an adaptive learner, comfortable operating in evolving technical and business landscapes.
- Experience in training and/or mentoring other team members (formal or informal) is preferred.
Workday & Technical Skills
- Firsthand experience designing and supporting integrations using:
- Workday Studio
- EIBs and Core Connectors
- PECI/PICOF
- BIRT / Document Transformations (DT)
- REST and SOAP APIs for Workday and related systems
- XML, XSLT, calculated fields, data migrations, and tenant management
- Strong understanding of security concepts and implementation in Workday and integrated HR systems.
- Experience in at least three of the following modules: Absence, Benefits, Talent, Time Tracking, and Recruiting.
- Operational knowledge of HR processes such as hire-to-retire, payroll, benefits, performance management, and compensation.
- Workday HCM, Integration, or other relevant Workday certifications will be considered favorably.
AI Skills & Mindset (Future-Ready Competencies)
- Hands-on experience or strong interest in using AI and automation tools (e.g., Workday AI features, Glean, UiPath, iCIMS AI capabilities, or similar platforms) to streamline and enhance HR technology processes.
- Ability to identify and evaluate AI use cases in HR systems (e.g., intelligent routing, data quality monitoring, predictive analytics, or conversational experiences) and translate them into practical, safe, and compliant solutions.
- Comfortable using generative AI to:
- Draft documentation, test cases, and release notes
- Perform lightweight impact analysis and summarization
- Support knowledge management and user self-service (with human review)
- Awareness of data privacy, security, and ethical considerations when applying AI in HR and employee-data contexts.
Tools, Delivery, and Soft Skills
- Practical experience with JIRA (or equivalent tools such as ServiceNow, Salesforce) for work intake, backlog management, and change/release processes.
- Strong discipline around documentation, testing, and change management in an enterprise environment.
- Excellent communication skills, with the ability to work effectively across geographies and time zones and with both technical and non-technical stakeholders.
- Strong stakeholder relationship skills, including expectation management, assertive influencing, and constructive conflict resolution.
