Job Description:

About the role: The incumbent will be responsible for managing end-to-end government tenders and GeM activities, ensuring timely, accurate, and compliant bid submissions. The role involves reviewing tender documents to assess eligibility, commercial viability, and documentation requirements before participation. The executive coordinates with internal teams to prepare complete techno-commercial bids and ensures smooth execution of awarded orders, contributing to improved bid success and business growth.

Tender Search and Analysis:

  • Proactively search for relevant online tenders aligning with the company’s product portfolio/range.
  • Thoroughly analyze tender documents, focusing on understanding terms and conditions, pre-qualification criteria, and basic technical specifications.

Government E-Commerce Management (GeM & Portals):

  • Manage the full lifecycle on the Government e-Marketplace (GeM) portal, including product uploads, bidding, pricing analysis, and support for logging tickets.
  • Possess knowledge of GeM Vendor Assessment processes.
  • Ensure timely vendor registration on various government tendering portals and conduct regular follow-ups.

Bid Preparation and Submission:

  • Prepare comprehensive Tender proposals (techno-commercial bids).
  • Draft necessary bid-specific undertakings and letters for tender submission.
  • Monitor and ensure error-free tender submission as per bid compliance matrices and guidelines.
  • Ensure completeness and accuracy of all tenders, strictly adhering to customer-defined time frameworks.
  • Review techno-commercial aspects of the bid and communicate any required changes to government bodies.

Reporting, Tracking, and Compliance:

  • Maintain accurate records of all Tenders/Bids throughout the process until the outcome is determined.
  • Prepare and analyze Management Information System (MIS) reports on quoted bids.
  • Regularly update data on quoted bids to gather market intelligence, including competitor L1 pricing insights.
  • Coordinate with the Logistics team to ensure delivery dates and other critical deliverables meet GeM/Tender timelines.
  • Manage the preparation, submission, collection, and refund follow-up for Earnest Money Deposit (EMD) and Performance Bank Guarantee (PBG) documentation.
  • Good knowledge on Government E Marketplace / various state & central public procurement portals.

Qualification

  • Must be a graduate / postgraduate, preferably from a life sciences background

Experience

  • 2 to 5 years in the Biomedical / Medical devices industry.

  • Ability to make MIS reports.
  • Proficiency in G-Suite, MS Office
