Job Title: Zoho Product Lead & Solutions Architect

Position Summary
We are an IT staffing firm centralizing our operations on Zoho One and seeking a Senior Zoho Administrator to own our technical ecosystem. This is a proactive role for a strategic operator who will design zero-manual workflows from Sales to Recruiting using Zoho CRM, Zoho Recruit (Staffing Edition), and Zoho Analytics.
Beyond standard administration, you will architect advanced Deluge automations, manage Ceipal ATS integrations, and configure Client/Candidate portals. We need a process-driven expert who doesn’t just take tickets, but independently identifies bottlenecks and implements scalable optimizations to drive our US staffing lifecycle.
Job Responsibilities:
- Workflow Architecture: Design, optimize, and standardize the end-to-end Sales → Recruiting → Placement lifecycle, ensuring seamless handoffs between Zoho CRM and Zoho Recruit (Staffing Edition).
- Cross-App Automation: Configure advanced triggers via Zoho Flow or Deluge so that Closed-Won Deals/Approved Job Orders automatically generate mapped Job Openings with standardized intake data.
- Portal Development: Lead the setup and management of Candidate and Client Portals in Zoho Recruit; customize portal layouts, visibility permissions, and self-service features for external stakeholders.
- Process Governance: Build and enforce Blueprints, validation rules, and multi-stage Approval Processes to ensure high data quality at the point of job intake and candidate submission.
- Deluge Scripting: Develop custom functions and SLA-based task assignments to bridge automation gaps that standard “point-and-click” workflows cannot solve.
- Data Integrity: Own system governance, including field mapping, deduplication logic, and Role-Based Access Control (RBAC) across the Zoho One suite.
- Advanced Intelligence: Build executive BI dashboards in Zoho Analytics tracking complex staffing KPIs: Submissions-to-Start ratios, Gross Margin per placement, and Recruiter Productivity.
- Ecosystem Integration: Manage and troubleshoot deep integrations with VMS Portals, VoIP/SMS tools, and the Zoho Recruit LinkedIn Extension.
- Proactive System Optimization: Continuously audit workflows to identify bottlenecks; autonomously suggest and implement best-practice enhancements to increase recruiter speed and data accuracy without being prompted.
- Internal Support Desk & Issue Resolution: Serve as the primary Tier 1 & 2 support contact for all internal users; manage a structured “request queue” to resolve sync errors, login issues, and workflow glitches during US business hours.
Required Skills
- Experience: 5–8 years of hands-on experience administering Zoho CRM and Zoho Recruit (Staffing Edition) within a complex Zoho One environment.
- Zoho Certifications (Required):
- Zoho CRM Certified Administrator
- Zoho Analytics Certified Expert
- Technical Mastery: Proven expertise in building multi-departmental Blueprints, validation logic, and Zoho Flow cross-app triggers.
- Portals & UX: Hands-on experience configuring and branding Client and Candidate Portals, including permission-based record visibility.
- Analytics & BI: Advanced proficiency in Zoho Analytics, including SQL-based data modeling and the ability to visualize complex staffing metrics (e.g., Yield Ratios, Gross Margin).
- Data Governance: Strong understanding of CRM data architecture, field mapping, and maintaining data hygiene in a high-volume recruiting environment.
- Communication: Near-native English fluency with the ability to translate business requirements from US leadership into technical workflows.
Preferred Qualifications
- Ceipal Integration (Preferred): Direct experience managing data migrations or real-time integrations between Ceipal ATS and Zoho to ensure a unified “source of truth” for candidate and sales data.
- Zoho Certifications (Preferred):
- Zoho Recruit Staffing Training Certification
- Zoho Creator Certified Developer (highly valued for advanced portal customization).
- Development: Proficiency in Deluge Scripting to create custom functions and advanced automation beyond standard workflow rules.
- Domain Expertise: Deep understanding of IT Staffing/Recruiting Operations, including the job lifecycle, burden/margin calculations, and VMS workflows.
- Migration & Strategy: Experience migrating data from legacy ATS/CRM platforms into Zoho and implementing RevOps frameworks.
- Integration: Experience connecting Zoho with 3rd-party tools like LinkedIn Talent Solutions, VoIP (RingCentral/Aircall), and SMS gateways.
